Effective Date: June 17, 2026 | Last Updated: June 17, 2026

Important Compliance Notice: EZ Notaries operates under strict compliance with US state Notary Public recordkeeping and Electronic Journal retention regulations. All signer identification, transaction details, and signatures are stored with heavy server-side encryption and restricted access controls.

1. Information Collected By eJournal Notary

When you utilize the eJournal Notary system developed by eznotaries.com, we collect information designed to provide a secure, compliant, and statutory record of your notarial acts:

  • Notary Profile Data: Commission name, active email, commission number, commission expiration date, signature credentials, and assigned state authority.
  • Signer Data (Public Record Logs): Name of signer, mailing address, signature capture images, method of identification (e.g. Driver's License or Credible Witness details), document type, fee charged, and time of signing.
  • System Log Metadata: Sign-in records, browser user-agent, active session details, and timestamp verification records to fulfill offline secure drafting logs.

2. How We Disclose and Use Information

Unlike traditional consumer applications, notary journals can occasionally be requested by government and law enforcement officials, state regulatory departments, or specific key parties to a signed document:

  • Statutory Access: Your records will ONLY be made available, shared, or printed to fulfill official requests by authorized state notary commissioning officers or under valid judicial subpoenas.
  • No Commercial Use: We explicitly DO NOT sell, lease, target advertisement with, or commoditize signer names, IDs, addresses, or private signatures to any third-party brokers.
  • Internal Verification: Registered emails are tracked internally to safeguard valid sign-ins and protect password reset services from speculative inquiry.

3. Advanced Security & Data Safeguards

To protect public records and legal credentials, EZ Notaries employs a multi-tiered security perimeter:

  • Encrypted Databases: We store all journal details on cloud databases backed by enterprise AES-256 server-side encryption.
  • Custom Access Control Rules: Strict database schema policies prevent unregistered actors from fetching your customized notary journals or draft inputs.
  • Safe Client Processing: Interactive Signatures captured on drawing tablets or smartphones are stored as encrypted formats and bound immediately to the non-modifiable journal document id.

4. Journal Retention & Account Deletion

Most states require or highly recommend Notaries Public to maintain their journals for a minimum period (commonly 5 to 10 years) after the end of their Commission. Consequently, notary journal documents cannot be instantly purged without explicit confirmation or verification of statutory transfer of records. If you require permanent eJournal decommissioning or need to import/export bulk logs in CSV or HTML format, you can access your profile features or reach out to our active administrator panel.
